Role Overview

The eCommerce Warehouse Administrative Specialist supports the daily operations of the eCommerce warehouse by ensuring accurate order processing, shipment coordination, fulfilment documentation, reporting, and SOP maintenance. The role works closely with HQ eCommerce teams, logistics partners, and internal stakeholders to ensure efficient order fulfilment while providing warehouse operational support when required.

Key Responsibilities

eCommerce Order Processing

  • Process and verify customer orders from Brand.com, marketplaces, and other digital sales channels using ERP, CMS, and marketplace systems.

  • Ensure order accuracy, timely processing, and compliance with fulfilment requirements.

  • Prepare shipment bookings and generate shipping documents, including airway bills, packing lists, labels, and customer messages.

  • Organize fulfilment documentation to support warehouse operations.

Operations & Coordination

  • Coordinate with HQ teams, logistics providers, and internal stakeholders to support smooth order fulfilment.

  • Handle shipment tracking, inventory verification, operational enquiries, and issue resolution.

  • Maintain operational records, reports, SOPs, work instructions, and related documentation.

  • Identify and escalate operational discrepancies while supporting process improvement initiatives.

Warehouse Support

  • Assist with picking, packing, labelling, shipment preparation, and inventory-related activities when required.

  • Support stock receiving, transfers, stock counts, and returns processing.

  • Provide operational support during peak sales periods and promotional campaigns.

  • Perform other duties assigned by the eCommerce Warehouse Manager.

Qualifications & Requirements

  • Diploma in Business, Logistics, Supply Chain, eCommerce, or related fields preferred. Relevant experience will be considered.

  • Minimum 2 years of experience in administrative, eCommerce operations, order processing, or warehouse support roles.

  • Experience with ERP, CMS, and marketplace management systems.

  • Strong attention to detail, organisational skills, and ability to manage multiple priorities.

  • Familiarity with third-party logistics coordination will be an advantage.
