Description
The Operation teams at Shopee covers the operational end-to-end process, from when the buyer searches for a product listed on the Shopee platform, to the moment the buyer receives the products. The team analyses and monitors operational KPIs across the region and conducts root cause analysis when operation performance fluctuates. The Operations team comprises Customer Service, Payment, Listings, Warehouse, Logistics, Seller Operations and Fraud.
Job Description:
1. Expansion Project Support
- Support warehouse expansion, renovation, and site improvement projects
- Coordinate with contractors, lessors, and internal teams (Ops, HSE, Security)
- Track timelines, deliverables, and readiness
KPIs:
- Project completion within agreed timeline
- % readiness before go-live
- Zero major compliance issues during expansion
2. Clinic Management
- Ensure smooth operation of onsite clinic and medical vendor performance
- Monitor clinic reports, attendance, and incident handling
- Ensure compliance with DOLE and company health standards
KPIs:
- 100% clinic operational uptime
- Timely submission of health reports
- Response time to medical incident
3. Housekeeping Management
- Oversee cleanliness across warehouse, offices, and common areas
- Manage vendor performance and audit compliance
- Ensure availability of sanitation supplies
KPIs:
- Housekeeping audit score (target: ≥95%)
- Zero major cleanliness complaints
- On-time issue resolution
4. Shuttle Management
- Manage shuttle routes, schedules, and vendor coordination
- Optimize utilization and ensure employee accessibility
- Address transport-related concerns
KPIs:
- On-time shuttle adherence rate
- Employee satisfaction (transport)
- Cost efficiency vs. budget
5. Gate Pass Checking & Approval
- Review and approve gate pass for materials and assets
- Ensure compliance with asset control and security protocols
- Coordinate with security team for proper documentation
KPIs:
- 100% compliance with gate pass process
- Zero asset loss incidents due to process gaps
- Turnaround time for approvals
6. Lessor Coordination
- Handle all facility-related concerns with building management
- Ensure timely resolution of issues (utilities, repairs, compliance)
- Monitor adherence to lease agreements
KPIs:
- Resolution turnaround time
- Zero major disruptions due to facility issues
- Compliance with lease requirements
7. Drinking Water Deployment & Monitoring
- Ensure sufficient water stations across warehouse areas
- Monitor supply, hygiene, and vendor performance
- Conduct routine inspections
KPIs:
- 100% availability of drinking water
- Zero quality-related complaints
- Regular inspection compliance
Requirements:
- Bachelor’s degree (Business, Office Management or admin related course)
- Experience in vendor and stakeholder management
- Strong coordination and reporting skills
- At least 2–4 years of experience in office admin, facilities admin, or warehouse operations. Logistics or e-commerce experience is advantage
