Job Description
We are seeking a responsible and detail-oriented Administrative Assistant to support daily pharmacy and office operations. This role involves administrative coordination, order processing, invoicing support, logistics coordination, and general office duties. Candidates should be organised, reliable, and comfortable handling multiple tasks.
Key Responsibilities
Handle prescription documentation and ensure records are properly filed
Process online and retail orders and arrange third-party deliveries
Pack local and international shipments accurately and on time
Assist with invoicing, billing, and daily sales closing
Receive incoming goods and assist with basic stock tracking and expiry checks
Coordinate with clinics, couriers, suppliers, and internal teams
Prepare brochures, samples, and materials for clinics or events
Answer phone calls, manage incoming mail, and maintain office tidiness
Perform other administrative and support duties as assigned
Requirements
Minimum GCE 'O' Levels or equivalent (preferred but not mandatory)
At least 1 year of administrative or office support experience preferred
Basic computer skills (email, spreadsheets, online systems)
Good organisational skills with strong attention to detail
Able to multitask and meet deadlines
Comfortable communicating with external parties
Able to work independently and as part of a team
Preferred Background
Experience in pharmacy, healthcare, logistics, retail, or e-commerce will be an advantage
