Role Summary
You’ll work closely with the founder to run and grow Naoki Matcha’s newly set up B2B online channels globally (initial priority in USA and Singapore) with a strong focus on execution converting inbound enquiries from brand.com, handling follow-ups, and supporting café success through fact finding and onboarding. This is a new function, so you’ll help build the practical kits and workflows that make B2B smooth and scalable.
Responsibilities
1) B2B Enablement & Onboarding Setup
• Set up and maintain the core workflows and materials that support B2B ordering, onboarding, and reorders together with the supply planning team and the Singapore warehouse team
• Produce and continuously update B2B tools by working with the founder and internal teams (marketing, ops, product):
o Wholesale one-pager / pitch sheet
o SKU & wholesale pricing sheet + recommended starter bundles
o Café recipe toolkit (signature recipes, portioning guide, SOPs)
o FAQ / objection handling (taste, sourcing, shelf life, storage, prep)
o Onboarding checklist (first order → training → menu launch → reorder)
• Assist with pricing and bundle setup (e.g., pack sizes, starter bundles, basic wholesale tiers) and keep all customer-facing materials accurate.
• Gather structured feedback from cafés and translate it into improvements across kits, offers, and onboarding experience.
2) B2B Ordering Channels (Shopify dominant first; other portals lightly managed)
• Own the day-to-day execution of B2B sales through Shopify (B2B ordering flow, starter bundles, customer communication, follow-ups, and repeat orders).
• Convert inbound leads from website/enquiries /messages into first orders and reorders through fast responses and structured follow-up.
• Recommend the right SKUs / starter bundles based on café needs (volume, taste profile, price point, workflow).
• Liaise with external service providers (e.g., DHL/logistics) and on-the-ground B2B agent partners (in PH and USA) to resolve ad-hoc issues (e.g., delayed deliveries, café escalations), with occasional US time-zone overlap when needed.
• Set up wholesale portals (if any) as supporting channels and perform periodic upkeep (updates to listings/packs/pricing) rather than day-to-day management.
3) Café Success Support: Education, Training & Launch Enablement
• Help cafés succeed after purchase by providing recipe formulation support (matcha latte specs, portioning, sweetness levels)
• Being able to understand the recipe differences and demo them in store (only in Singapore) is a plus
• Work with internal operation/warehouse teams to arrange samples, training materials, so cafés can execute consistently.
• Work with team mates in partnerships and marketing to identify, evaluate and develop opportunities among b2b partners for offline collaborations.
Requirements
• 1–2 years experience in B2B account management / sales operations / customer success / partnerships (foodservice, ingredients, FMCG, or hospitality preferred).
• Bachelor's degree in Business Administration (BBA / BBM), Supply Chain, or related discipline
• Strong follow-up habits: responsive, organized, and able to push items across internal teams to completion.
• Comfortable working with the founder; you can take a brief and run with it.
• Able to create clean, structured docs/slides (sales kits, FAQs, toolkits) with internal support.
• Upstart mindset: proactive, hands-on, and comfortable building a new function.
• Familiarity with wholesale marketplaces / ordering portals (e.g., Faire) and basic catalogue management will be a bonus.
