Executive, Order Fulfilment
Booksmart is a fast-growing book distributor headquartered in Singapore, on a mission to transform the way books are purchased and delivered across Asia. We are looking for a highly organised and detail-oriented Executive, Order Fulfilment to ensure orders are processed accurately, shipped on time, and invoiced correctly.
Role Overview:
The Executive, Order Fulfilment is responsible for managing the end-to-end order lifecycle across e-commerce and wholesale channels, ensuring operational efficiency, timely and accurate invoicing, and on-schedule dispatch. The role serves as a key engagement point between customers, warehouse operations, finance and internal stakeholders to deliver a seamless fulfilment experience.
This is a hands-on execution role suited for an individual who thrives in a fast-paced environment, takes ownership of outcomes and demonstrates strong operational discipline and attention.
Key Responsibilities:
Order Processing & Fulfilment
Process daily e-commerce and B2B wholesale orders timely and accurately
Verify order details, including pricing, quantities, customer information and shipping details
Coordinate with warehouse teams for picking, packing and dispatch activities
Monitor order status to ensure orders are shipped within agreed service levels and delivery timelines
Invoicing & Documentation
Coordinate with Finance to ensure accurate and timely issuance of customer invoices
Process and validate B2B purchase orders in accordance with agreed commercial terms
Maintain accurate order, billing transactions and supporting documents
Customer Communication and Issue Resolution
Manage order-related enquiries from customers
Provide shipment updates and tracking information
Investigate and resolve order discrepancies including damages, shortages and delivery delays
Liaise with freight partners and third-party logistics providers when required
Process Improvement & Cross-Functional Coordination
Collaborate with Customer Service, Technology, Finance and Warehouse teams to support end-to-end operations
Identify operational inefficiencies and recommend improvements to boost operational effectiveness
Support initiatives aimed at improving cost efficiency, fulfilment speed, order accuracy and overall customer satisfaction
Requirements:
Degree or diploma in Supply Chain Management, Business Administration, Logistics, or related discipline
2 to 3 years of experience in order fulfilment, supply chain operations, logistics or customer service operations
Fresh graduates who have demonstrated leadership experience through student organizations, projects or internships are welcome to apply
Strong attention to detail with good organisational and structured problem-solving skills
Comfortable working with numerical data and translating operational data into actionable insights
Proficiency in Microsoft Excel (e.g. pivot tables, basic formulas, data analysis functions); exposure to business intelligence tools (e.g. Power BI, Tableau) is an advantage
Self-motivated, proactive and able to thrive in a fast-paced operational environment
Strong interpersonal and communication skills with the ability to collaborate effectively across cross-functional team
