Job Summary
The Operations & Marketing Executive will coordinate shipment and delivery of STEM education kits while maintaining accurate inventory, client records, and documentation. The role also supports client communication, marketing outreach, and events to ensure smooth operations and strong relationships with schools and education partners.
Responsibilities
Operations & Logistics
- Coordinate shipment schedules and delivery of STEM kits to schools and partners to ensure timely fulfillment
- Prepare invoices, delivery orders, and shipping documentation accurately using Xero software
- Maintain inventory and order tracking records in coordination with the iHub Logistics team
- Liaise with warehouse and logistics providers (iHub Logistics) to resolve shipment or delivery issues
- Support bulk order fulfillment cycles by organizing and preparing orders efficiently
Client & Account Coordination
- Maintain and update client records and CRM database
- Track quotations, invoices, and payments to support account coordination
- Communicate with schools and partners in Singapore and the region regarding order, production status, and delivery updates.
- Ensure accuracy and proper filing of all order and shipment documentation
- This role supports invoicing and payment tracking; full accounting and tax are handled externally.
Marketing & Outreach Support
- Support email marketing and outreach campaigns, including distribution and follow-up
- Assist outreach to schools and education partners in Singapore
- Support events, demonstrations, and presentations through materials preparation and logistics coordination
