Role Overview

The Partnerships Operations Executive supports the growth of IRVINS' B2B, reseller, corporate and Modern Trade channels by ensuring smooth day-to-day operations, accurate execution of trade activities, and effective use of data and AI tools for decision-making.

This role is hands-on and execution-focused, working closely with the Partnerships Manager and cross-functional teams to translate plans into on-time, accurate delivery at customers and in stores.


Key Responsibilities

1. Partnerships & Modern Trade Operations

  • Manage end-to-end order and PO processes for B2B, resellers, corporate clients and Modern Trade customers (e.g. supermarkets, convenience chains, specialty retailers).

  • Handle listing and delisting administration: forms, product setup, item code maintenance, price updates, promo submissions and basic planogram documentation.

  • Coordinate trade and corporate promotions execution: track mechanics, monitor in-store implementation (with merchandisers/field team), store walks and ensure POSM deployment.

  • Support claim and rebate processes: collect documentation, reconcile against agreements, and work with Finance on timely verification and payout.

  • Maintain accurate customer records, contact lists, contracts and commercial terms.


2. Internal Coordination

  • Liaise with Supply Chain/Warehouse on stock availability, allocations, delivery dates and special packing requirements.

  • Work with Finance on invoicing issues, credit/debit notes and basic discrepancy checks.

  • Coordinate with Marketing on trade marketing materials (POSM, digital assets) for B2B and MT partners.

  • Support basic preparation for customer meetings (sell-in decks, product lists, volume snapshots) using existing templates and tools.

  • Plan monthly store visit schedules with the merchandising team.


3. Data , Reporting & AI Tool Usage

  • Update and maintain sales and promotions tracking files/dashboards for B2B and Modern Trade accounts.

  • Generate regular operational reports (e.g. sales by account/SKU, promo uptake, out-of-stock lists) using existing dashboards and AI-powered tools.

  • Use AI assistants (e.g. for report summaries, simple analysis, and standard document drafts) to work more efficiently, and flag recurring manual tasks that can be automated.

  • Highlight data issues, anomalies or operational risks to the Partnerships Manager in a timely manner.

  • Consolidate store visit reports, photos, and feedback from merchandisers into actionable insights.


4. Continuous Improvement

  • Proactively identify process gaps or inefficiencies in partnerships operations and suggest practical improvements.

  • Help document and refine SOPs, checklists and templates for B2B and MT operations.

  • Support ad-hoc projects and initiatives related to channel expansion, new customer onboarding, and systems/automation roll-outs.


Our Dream Candidate

  • Diploma or Degree in Business, Marketing, or related field.

  • 2–4 years of experience in FMCG/F&B or retail in one or more of the following areas:

  • Trade marketing / Modern Trade operations

  • Sales coordination / key account support

  • B2B / corporate sales operations

  • Solid working knowledge of Excel/Google Sheets and basic reporting; comfortable working with numbers and large datasets.

  • Tech- and AI-savvy: open to using AI tools to speed up reporting, documentation and simple analysis (training will be provided).

  • Good communication and coordination skills; able to work with multiple internal and external stakeholders.

  • Organized, reliable, and able to manage multiple tasks and deadlines in a fast-paced environment.

  • Strong attention to detail and accuracy.


What Success Looks Like in 12 Months

  • Orders, listings, promotions and claims for B2B and MT accounts run smoothly with minimal errors or escalations.

  • Partnerships Manager and commercial leads can focus more on customer relationships and growth, with operational issues handled reliably.

  • Reporting and routine documentation are consistently produced on time, with increasing use of AI and automation to reduce manual effort.

  • Clear, up-to-date SOPs and trackers exist for key partnerships operations
