We are a fast-growing, independent lifestyle brand rooted in artisanal design and premium gifting. As we scale, we are looking for a sharp, hands-on Operations & Admin Lead with a knack for digital marketing and a heart for systems, execution, and brand-building.

This is a full-spectrum role that cuts across backend operations, client servicing, light marketing execution, and supporting the leadership team in day-to-day execution. Ideal for someone who thrives in a small-team environment, and is excited to co-build processes and momentum from the ground up.

Key Responsibilities:

Operations & Admin

  • Oversee and optimise day-to-day administrative workflows — HR files, vendor coordination, purchasing, petty cash, scheduling

  • Manage backend retail operations: stock tracking, logistics, supplier follow-ups, packaging, barcode management

  • Maintain accurate records and SOPs for grants, licensing, safety certifications, and corporate compliance

  • Coordinate with part-time staff, vendors, and retail assistants as needed

Client & Order Management

  • Handle corporate order fulfilment: tracking timelines, invoices, client queries, and packaging requirements

  • Maintain customer records, payment statuses, and after-sales communication

  • Support sample dispatch, vendor briefing, and returns/exchanges across channels

  • Track ongoing B2B relationships and proactively maintain order pipelines

Digital Marketing Execution

  • Support execution of brand campaigns across Instagram, Facebook, LinkedIn, and email

  • Coordinate content calendars, scheduling, and asset preparation with designers/founders

  • Manage backend marketing tools (e.g., Mailchimp, Linktree, Canva, Shopify blog posts)

  • Track key marketing metrics (opens, reach, engagement) and highlight learnings monthly

  • Help update website banners, product listings, and manage basic CMS content

Light Business Development & Research

  • Research and propose new retail partners, brand collaborations, and popup venues

  • Assist in preparing corporate decks, marketing kits, and gifting proposals

  • Manage CRM entries, prospect follow-up timelines, and founder handover tracking

Founder & Team Support

  • Support founders in day-to-day scheduling, internal coordination, and preparing materials

  • Coordinate team offsites, volunteer projects, photoshoots, and retail shifts if needed

  • Be a utility player: able to jump in across roles during peak periods (launches, events, gifting seasons)

Who You Are

  • 3–6 years of experience in a hybrid role spanning admin, ops, client servicing, or digital marketing

  • Background in retail, design, events, creative industries, or e-commerce is a strong bonus

  • Strong sense of initiative, follow-through, and accountability — nothing slips through the cracks

  • Confident writer and communicator, able to handle both clients and internal requests

  • Familiar with platforms like Google Drive, Shopify, Canva, Mailchimp, or similar

  • Has a keen visual sense, curiosity about brand-building, and a love for beautiful things
