Summary


Join a small, diverse yet dynamic and quick-moving team in a fast-growing tequila brand, who operates a direct distribution business in the local market and also manages the international business from its Singapore outpost.


This role is a new hybrid function that will support both the local sales orders & operations and the global brand & merchandise operations, and will report primarily to Operations and secondarily to Brand/Marketing.

It is not a mandatory requirement to be a personal consumer of alcoholic beverages, though if you think you have a natural interest in the spirits and F&B industry and may have value to contribute to our brand, we would love to have a chat.


Main Responsibilities


Daily Customer Order processing


• Receive and process purchase orders, prepare and send invoices to local trade customers daily.


• Process orders from our direct e-Commerce store.


• Manage and liaise directly with Logistics Partners (outsourced) on delivery arrangements daily.


• Liaise with trade or direct ecom customers on orders and delivery arrangement where necessary.


• Liaise with the various internal teams (Sales, Finance) with regards to order management processes where necessary.


• Maintain/update information in the customer/account database.


Sales & Operations Support


• Support the Sales team with customer queries where necessary.


• Manage in collaboration with Sales team customer issues and consider appropriate solutions and options.


• Perform as part of Operations teams daily inventory management and monthly stock take activities.


• Provide administrative support and cover duties within Operations team as assigned.


• Assist Operations team in performing month end closing.


POSM & Merchandise Development:


• Assist the Brand/Marketing team in the POSM development process, particularly in the operational aspect from sourcing and shortlisting vendors, sample development, order placement and payment processes, shipping arrangements to all regions, through receipt of goods in Singapore bonded warehouse.


• Ensure the milestones and timeline per project is being met as targeted and planned.


• Liaise with EMEA and USA teams with regards to new product briefs, new product development, sample feedback, new and replenishment order, shipping and delivery arrangements.


• Assist in maintaining and updating product catalogue.


• Manage the project updates within Monday.com.


• Assist in updating pricing information in master product database.


• Arrange shipping of reference materials to vendors, where necessary.


• Liaise with market teams to arrange drop-ship arrangements of POSM factory orders, where necessary.


Inventory Management


• Maintain daily inventory management for all SKUs, including POSM items.


• Perform a monthly stock take, as part of the Operations team activity, for all SKUs, including POSM items, at both the Office and the Singapore Warehouse locations.


• Manage demand and supply of the POSM inventory at the Asia (bonded warehouse) and the Local (Singapore warehouse & office) level.


• Propose replenishment orders for Asia region.


Events Support


• Support Brand/Marketing and Sales teams in event planning.


• Handle packing of all event items in a clear and orderly manner.


• Coordinate directly with Logistics partners with regards to all logistics matters for events – delivery, pick-up and return of all event items.


• Manage and update inventory pre- and post-event.

• You are highly organised and have a good eye for the finest details.


• You don’t get flustered easily and can manage constant changes and late-minute challenges.


• You are a self-starter. You’re motivated to continually find a better way. You easily move between various projects on the go.


• You are very experienced with MS Office. Knowing basic Adobe creative tools is a plus, not a must.


• You are comfortable communicating with and managing various people, both in and out of the office, both internal colleagues and external customers.


• You are driven and can manage your time to successfully reach goals.


• You like tequila. A plus, not a must.
